AGENDA SPECIAL SELECTMEN'S MEETING
Town of New Gloucester
Monday, May 3, 2004
6:45 p.m.
Memorial School Gym

1. CALL THE MEETING TO ORDER & ATTENDANCE

2. SCHEDULED ITEM

2.a To See What Action the Board Wishes to Take Regarding Reconsideration of the Meetinghouse Roof Contract Award

3. ADJOURNMENT

Below is a revised summary of meetinghouse roof bids for Selectmen's reconsideration, by Town Manager Rosemary Kulow:

Deduction Net Bid
Total Bid For Tower w/o Tower
Gladu Roofing $17,980
Hardypond Construction $11,822.50 $ 2,500 $ 9,322.50
Hardypond's bid form did not indicate that the tower was not included. It was only after I saw the proposed contract that it became clear. The cost of the tower added changes Hardypond's bid from the lowest to the third lowest.
Ironwood Construction $13,915 $ 1,300 $12,615
P & P Construction $10,740 $ 1,200 $ 9,540
Straight Line Roofing $11,500 $ 1,500 $10,000

All bidders attended the mandatory pre-bid meeting. As directed, I obtained and checked references for all bidders except the highest bidder, Gladu Roofing. I received positive comments about all the roofing companies from their referenced customers.

Based on the new information, I recommend that the Board award the contract to the apparent, low bidder, P & P Construction, in the amount of $10,740. $15,000 was budgeted in account #128, Capital Improvements, for the meetinghouse roof project.
